This Privacy Policy governs the manner in which Solar Energy Trade Shows, LLC (“we”, “us”, or “RE+ Events”) which is the data controller and the entity responsible for websites including re-plus.events, re-plus.com, solarpowerinternational.com, energystorageinternational.com, and sets.solar (each a “Site”) collects, uses, maintains and discloses information collected from visitors to our Sites and individuals that attend events that we host. This Privacy Policy applies to the Sites and to all products, services, and events offered or operated by RE+ Events.

We value the privacy of our attendees. Our Privacy Policy is designed to give you full transparency as to what data we collect, why, and how we use the data.

Please note, it has always been our policy that we do not sell any of our lists to third parties – any company that contacts you about receiving a list of contact information from attendees of our events is fraudulent.

Information we collect – personal information

We may collect personal information from individuals in a variety of ways, including, but not limited to, when they visit our Sites, subscribe to our newsletter, sign up for or attend an event, fill out a form, and/or in connection with other activities, services, features or resources we make available on our Sites.

Individuals may be asked for the following information, as appropriate and indicated in the relevant data form itself: name, email address, mailing address, phone number, company, job title, categories of business, financial information (e.g., credit card details for event payments), interests related to the energy industry, city, state/province/territory, and other demographic information.

We may also create personal information about you in our systems, for example records of events that have previously been attended, and of your communications with us and their content.

Certain information we collect may be considered “special category” information.  Such information may include demographic information such as and/or health information relating to any medical conditions you have that require special adjustments to be made to enable you to attend an event. To the extent you include special category information in any communications with us, we will also process such information.

You are not obliged to provide us with any directly identifying personal information. We will collect directly identifying personal information from individuals only if they voluntarily submit such information to us. Individuals can always refuse to supply personal information, although this may prevent them from engaging in certain Site-related activities or attending our events.

Some third-party websites will collect your contact information on our behalf. For example, our current registration company is Convention Data Services. When you register for our event(s), you will be redirected to their website to register.  Please note that Convention Data Services has its own privacy notice which you should review. Once you provide us with your information as part of the registration process, we will process that data to send you information about the event as well as related information that pertains to your opt-in and registration service messages. We also send past attendees emails about future events unless they opt-out of receiving such information.

Information we collect – non-personal information

We may collect non-personal information about individuals whenever they interact with our Site. Non-personal information may include the browser name, the type of computer and technical information about individuals’ means of connection to our Site, such as the operating system and the Internet Service Providers utilized and other similar information.

Web browser cookies

Our Site uses “cookies” to enhance user experience. With your consent, where required, your web browser may place cookies on your hard drive for record-keeping purposes and sometimes to track information about you. For more information about cookies, see our Cookie Policy.

How we use collected information

We may collect and use individuals’ personal information for the following purposes:

In relation to hosting our events
Information you provide will allow us to operate our events.  In particular, information provided at registration will be used as necessary to enable your access to the events in accordance with our agreement with you. To the extent you provide medical information to enable us to accommodate your attendance at an event, your voluntary provision of such information constitutes your explicit consent for us to process it, solely to accommodate any special requirements you may have.

To communicate with you and improve customer service
Information you provide helps us respond to your customer service requests and support your needs more efficiently. This may be necessary for us to perform our contractual obligations owed to you, or where necessary for us to pursue our legitimate interests (depending on the customer services request). To the extent you include any special category personal data in communications with us, the voluntary provision of such information will constitute your explicit consent for us to process it, solely in relation to responding to the relevant communication.

To personalize user experience
We may use information in the aggregate to understand how our users as a group use the services and resources provided on our Site. This allows us to pursue our legitimate interests in providing a positive user experience.

To improve our Site
It is in our legitimate interest to ensure out Site is operated in the most efficient and effective manner. We may use feedback you provide to improve our products and services. With user consent, where required, we also use cookies to find out how our Sites are being used, and how we can arrange data to improve user experience.

To run a promotion, contest, survey or other site feature
Where users enter into promotions, contests, surveys or other site features we may obtain their consent to use their personal information in operating such features.

To send periodic emails
We may use individuals email addresses to respond to inquiries, questions, and/or other requests. This may be for us to comply with our contractual obligations, or to take steps to enter into a contract at your request. We may also have a legitimate interest in responding to communications. If an individual decides to opt-in to our mailing list and provide their consent to receive marketing (or does not opt-out when signing up to attend an event), they may receive emails including company news, updates, related product or service information, etc.  With consent, where required, we may also share details of third party goods or services that we think may be relevant to you.  If at any time the individual would like to unsubscribe from receiving future emails, we include detailed unsubscribe instructions at the bottom of each email.

Ad serving
With consent, where required, we may use cookies to serve advertisements on other websites.

We may also anonymize, aggregate or otherwise strip any personal information or other information we collect of all personally identifying characteristics and may use of share that aggregated, anonymized data with third parties for any purpose we deem appropriate. 

How we protect your information

We adopt appropriate data collection, storage and processing and security measures to protect against unauthorized access, alteration, disclosure or destruction of your personal information, usernames, passwords, transaction information and other data stored on our Site.

Data exchanges between the Site and its users happen over an SSL secured communication channel and are encrypted and protected with digital signatures. We also limit access to your personal information to those employees, contractors and agents who have a business need to access it for one of the purposes described in this Privacy Policy.

However, no communication over the internet is entirely secure and we cannot guarantee the security of any information that is transferred in this manner. While we strive to protect your personal information, no security can be absolutely effective, and we cannot warrant the security of any information you transmit to us.

How long we store your personal information for

We will store your personal information for as long as is reasonably necessary for the purposes for which it was collected. In some circumstances, we may store your personal data for longer periods of time, for instance where we are required to do so in accordance with legal, regulatory, tax or accounting requirements.

In specific circumstances we may store your personal information for an extended period so that we have an accurate record of your dealings with us in the event of any complaints or challenges, or if we reasonably believe there is a prospect of litigation relating to your personal data or relationship with us.

Once your personal information is no longer needed, it is securely destroyed.

Sharing your personal information

In general, we do not share personal information about you with third parties for third-party marketing or advertising purposes. However, we may share your personal information with exhibitors or sponsors if it is part of their agreement with us.

Partners – which work with us in relation to specific events – might receive a list that contains the following: Your first name, last name, contact details, job title, company, city, state/territory, and country.

Sponsors – which are listed on the website – might receive a list that contains the following: Your first name, last name, job title, company, city, state/territory, and country.

Exhibitors – which are companies exhibiting at current event will not receive any list that contains personal information.

Exhibitors or sponsors may provide products or services to you and, with your consent where required, may also help us market or advertise to you (including co-branded marketing and advertising). You have the option of submitting your marketing preferences when you first provide personal information to us. In particular, you have the option to:

  • Opt out of marketing sent by RE+ Events in relation to our own similar products and services – we will send you marketing in relation to this unless you opt out of receiving such marketing; 
  • and
  • Opt in to marketing sent in relation to third party products and services – we will not send you such marketing unless you specifically consent to this.

Where we send marketing communications in line with the above, you have the option to opt out of receiving further correspondence in each communication.

We use demographic information – and interests – to segment our email distributions. We also use this data to produce post show reports, as well as to give potential exhibitors and speakers an overview of who attends our events.  [We do not provide exhibitors and speakers with individual personal information.] We never display direct contact information, such as phone number or email address to the general public.

We may also share generic aggregated demographic information not linked to any personal information regarding visitors and users with our business partners, trusted affiliates and advertisers for analytics purposes.

We may use third party service providers to help us operate our business and the Site or administer activities on our behalf, such as sending out newsletters or surveys, or otherwise assisting with any of the purposes described in this Privacy Policy. We may share your information with these third parties who may use the information solely for those limited purposes. We have agreements in place with all such service providers which contain comprehensive provisions relating to the protection of personal information.

We reserve the right to transfer any personal information we have in the event of bankruptcy, or if we or any part of our business merges with or is acquired by a third party, or if any such transaction is proposed.

All our database contacts are shared with the Canadian Renewable Association (CanREA), as they are the partners of Solar Energy Trade Shows, LLC (RE+ Events). By providing us with your information via a webform or otherwise as stated above, you understand that we will share the personal information included in the specific webform with CanREA. There may be a message of consent on each webform in which you can give your consent for CanREA and RE+ Events to contact you.

Third party websites

Users may find advertising or other content on our Site that links to the sites and services of our co-promoters, suppliers, advertisers, sponsors, licensors and other third parties. We do not control the content or links that appear on these sites and are not responsible for the practices employed by websites linked to or from our Site or third parties that operate them. In addition, these sites or services, including their content and links, may be constantly changing. These sites and services may have their own privacy policies and customer service policies. Browsing and interaction on any other website, including websites which have a link to our Site, is subject to that website’s own terms and policies. We are not responsible for the practices or policies of third parties or their websites. We suggest you view these policies for more information. 

International transfers of personal information

RE+ Events is primarily located in the United States of America (“USA”). Any personal information submitted to RE+ Events is therefore collected and stored in the USA, which has not been deemed by the EU Commission or the UK Government to provide an adequate level of protection of personal data. We may also use service providers in other countries to assist us with any of the purposed described in this Privacy Policy. While such information is outside of your jurisdiction or country of residence, it is subject to the laws of the jurisdiction or country in which it is held, and may subject to disclosure to the governments, courts or law enforcement or regulatory agency of such other province or country, pursuant to local laws.

Personal data that we collect from you may in some cases be further transferred to third parties that are also based outside the UK and the European Economic Area (“EEA”). Where necessary, we ensure appropriate safeguards are in place for transfers to such third parties to protect your personal data (such as the Standard Contractual Clauses approved for this purpose by the EU Commission and the UK Information Commissioner).

You have a right to contact us for more information about the safeguards we have put in place (including a copy of relevant contractual commitments) to ensure the adequate protection of your personal information when it is transferred outside the UK or EEA, or to request more information about international transfers of personal information. RE+ Events has the discretion to update this Privacy Policy at any time. When we do, we will revise the updated date at the bottom of this page. We encourage individuals to check this page regularly for any changes to stay informed about how we are helping to protect the personal information we collect.

By using this Site, you signify your acceptance of the current version of this Privacy Policy. If you do not agree to the current version, please do not use the Site.

Your rights in relation to your personal information

Depending on the jurisdiction in which you are based, and subject to certain exceptions, you may have certain rights in relation to your personal information.  In particular, individuals located in the EEA, UK, or Canada, have the right to:

  • access personal information that we hold about you;
  • correct, rectify or erase personal information that is inaccurate;
  • restrict the processing of your personal information or object to our processing in certain circumstances;
  • withdraw your consent to processing of your personal information (where consent is the legal basis being relied upon);
  • ask us to transfer your personal information; and
  • lodge a complaint with a supervisory authority (such as the AEPD in Spain).

All users are free to access the personal information we have on file regarding them by contacting our Customer Service department by email at privacy@re-plus.com or by phone at 1-703-738-9460. In addition, at any time you can request that we modify or delete your personal information by sending an email to us at privacy@re-plus.com with the words “UPDATE MY INFORMATION” in the subject line or by calling us at 1-703-738-9460, to help protect you, prior to exercising your rights, we may ask you to verify your identity. Please also use these contact details if you would like to make any other requests to exercise the above rights. Please note that if you request that we delete your contact information, you will not hear from us again, unless you provide us with your details in the future.  We aim to process all requests in 30 days or less. Please note these rights may be subject to limitations under the applicable law.
