Cancellations and Refunds

I acknowledge that I participate in Electricity Transformation Canada and activities at my own risk, and I agree to hold harmless, release, and discharge RE+ Events, CanREA, the Italian German Exhibition Group, and any sponsors or providers to any of them from any and all claims, actions, damages, losses, costs, expenses and liability of any kind, including but not limited to any personal injury or property damage claims, liquor or dram shop claims, intellectual property infringement claims, privacy or security claims, and/or contract claims, that may arise out of my attendance at or participation in ETC or activities related to ETC.

  • All registration cancellations must be submitted in writing to ETC@microspec.com. The e-mail date will be the date of the cancellation request if the cancellation falls on a deadline and the amount refunded is disputed. All cancellation requests must state the reason for cancellation. We will not accept cancellations without a detailed explanation included.
  • Attendees have 7 days from the date of registration to request a full refund prior to August 8, 2025, minus a $50 processing fee. Attendees have 7 days from the date of registration to make modifications to the current registration category prior to August 8, 2025, minus a $50 processing fee. Processing fees are waived for upgrades.
  • Cancellations received and time-stamped after August 8, 2025, are not eligible for a refund.
  • Cancellation of a registration does not cancel an attendee’s hotel reservation. Individuals are responsible for cancelling their own hotel reservations.
  • Substitutions are allowed by individuals within the same company, prior to the event or onsite. Once a substitution has been made, the original registration will no longer be valid. Substitutions after a badge has already been picked up onsite are strictly prohibited.
  • Cancellation of a registration does not cancel an attendee’s hotel reservation.  Individuals are responsible for cancelling their own hotel reservations.
    Requests for refunds received via e-mail by August 8, 2025, will be processed within 45 days after the event.
  • Refunds will be issued to the original payment method. In the event a card refund is declined, the cardholder should resolve with their bank.
    In the event the conference is cancelled, ETC liability is limited to the refund of the conference registration only.
  • Please do not call with a request to change your registration; it can be changed online through the Access My Registration button on the registration page.

Registration and Badge Printing Onsite

  • Lost or damaged badges can be reprinted onsite at the Registration Desk.
  • A replacement fee of $50 will be charged.
  • Reprints will only be issued for the same individual and company as the original badge.

Health and Safety

Attendees at ETC are expected to make every effort to maintain the Public Health Agency of Canada‘s recommended hygiene procedures, including regular hand washing when not available, using hand sanitizer, avoiding touching eyes, nose, and mouth in public places, covering coughs or sneezes with a tissue or the inside of the elbow, avoid touching including handshakes and hugs, etc.

Suit Casing/Outboarding

ETC restricts exhibitors from hosting or participating in competing or conflicting events or activities that occur during official show hours. Exhibitors violating this policy will be subject to cancellation of their booth without refund and may not be invited to participate in future ETC exhibitions. Booth Personnel are not permitted to promote the exhibiting company outside the contracted exhibit space. All marketing must remain within the contracted exhibit space. Marketing materials may not be placed on conference tables or other areas that are not within the boundaries of the booth, both inside and outside of the exhibit hall. Show management reserves the right to remove individuals or discard display materials that do not comply with these guidelines. ETC has a zero-tolerance policy regarding suitcasing. Please note that while all meeting attendees are invited to the exhibit floor, any attendee who is observed to be soliciting business in the aisles or other public spaces or in another company’s booth will be asked to leave immediately.

What is suitcasing?

Suitcasing is a business practice in which unethical companies will gain access to an event by obtaining some type of event credential (attendee badge, expo-only badge, etc.) and then solicit business in the aisles or other public spaces used for the conference. This practice skirts the support of the organizer and the industry.

What can you do?

Please report any violations you observe to the exhibits manager, other ETC event staff, or conference security. The exhibits manager will investigate all complaints of suitcasing. ETC recognizes that suitcasing may also take the form of commercial activity conducted from a hotel guest room or hospitality suite, a restaurant, or any other public place in proximity to our event. For the purposes of this policy, suit-casing violations may occur at venues other than the exhibition floor and at other events. It is for this reason, ETC must be informed of any hospitality suites, and expressed consent must be given prior to the event.

ETC Show Code of Conduct

ETC is committed to providing a friendly, safe, and welcoming environment for all, regardless of gender, sexual orientation, ability, race, ethnicity, religion, national origin, or other protected characteristics. We expect all attendees, media, speakers, volunteers, venue staff, and exhibitors to help us ensure a safe and positive experience for everyone. This Code of Conduct outlines our expectations for behavior, as well as the consequences for unacceptable behavior.

Be considerate, respectful, and collaborative. Refrain from demeaning, discriminatory, or harassing behavior and speech. Be mindful of your surroundings and of your fellow participants. Alert event venue security or ETC Event staff if you notice a dangerous or harassing situation or someone in distress.

UNACCEPTABLE CONDUCT: All who participate in the event deserve respectful treatment, regardless of the capacity in which they are attending. Unacceptable behaviors include intimidating, harassing, abusive, discriminatory, derogatory, or demeaning conduct by any attendee, speaker, partner, exhibitor, or volunteer of the event or related event activities. ETC defines harassment to include: offensive verbal comments related to gender, sexual orientation, race, religion, national origin, gender identity, or disability; use of nudity and/or sexual images in public spaces (including presentation slides); deliberate intimidation, stalking or unwelcome following; harassing photography or recording; sustained disruption of talks or other events; unwelcome physical contact or sexual attention. Attendees often combine professional activities with social interaction, and while ETC encourages such networking and strengthening of connections between participants, ETC reserves the right to remove anyone whose social attentions become unwelcome to an attendee or exhibitor, who appears inebriated and who engages in conduct that interferes with the ability of other attendees and/or exhibitors to participate in and enjoy the event. Event participants are not permitted to bring firearms to the event.

CONSEQUENCES OF UNACCEPTABLE BEHAVIOR: Unacceptable behavior will not be tolerated at the events, whether by (including but not limited to) attendees, media, speakers, volunteers, organizers, venue staff, sponsors, or exhibitors. Anyone asked to stop unacceptable behavior is expected to comply immediately. ETC, at its discretion, may bar those who violate this code from continued attendance or participation in some or all of the events without refund of any fees paid and may, in appropriate circumstances, bar violators of this code from attendance or participation of future events.

Liability, Hold Harmless

Registrant acknowledges and agrees that ETC (and partners of ETC) shall not be liable for any claims, losses, damages, death, injuries, communicable disease, illness, or other liability which may be sustained by any person who may be on the premises for the Event, including but not limited to any agent, employee, representative or guest of the registrant, or any other person or entity. The registrant agrees that it will hold harmless ETC (and partners of ETC) from any and all claims, losses, damages, death, injuries, communicable disease, illness, or other liability whatsoever, whether to property, person, or otherwise, that may arise in connection with attendance at the Event. In no event will ETC (and partners of ETC) be liable to the registrant, whether in contract or tort, for any amount in excess of the fees paid by the registrant. In no event shall ETC (and partners of ETC) be liable, whether in contract or tort, for any indirect, consequential, exemplary, punitive, or special damages or awards, including but not limited to lost profits.

Media & Photography

On-site, media, photographers, videographers, and others will be in attendance. Participants grant ETC the right to use participants’ names, images, and likenesses, including but not limited to any photographs, audio recordings, or video taken during the show, for marketing purposes.

General

ETC reserves the right to change, amend, add, or remove any of the above Terms & Conditions in its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms & Conditions should become invalid, the remaining conditions will continue to be valid and apply. These Terms & Conditions apply to all event participants (attendees, speakers, sponsors, exhibitors).

The views expressed by any event attendee, speaker, exhibitor, or sponsor are not necessarily those of RE+ Events, CanREA, the Italian German Exhibition Group, or our stakeholders. All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of all individual or company presentations, marketing collateral, and/or advertising.

Some of these partners, sponsors, and vendors will be linked to from ETC pages, but ETC is not responsible for the content of linked third-party websites or for the content, accuracy, or authenticity of materials on such websites. Your use of third-party websites is at your own risk and subject to the terms and conditions of use for such websites.

Important Notice to Exhibitors: Beware of Scams!

We are committed to ensuring a safe and successful experience for all participants at Electricity Transformation Canada (ETC). Unfortunately, some unscrupulous individuals and organizations may attempt to exploit exhibitors by offering fraudulent services. Please be vigilant and aware of the following scams:

  1. Housing Scams: Beware of unauthorized housing agencies claiming to offer discounted accommodation rates during the event. ETC has an official housing provider, and all hotel reservations should be made directly through our official channels on this website only. 
  2. Exhibitor Directory Scams: Some companies may contact you requesting payment to be listed in an exhibitor directory or show guide. Please note that ETC does not partner with third-party vendors for these services. Any official show guides or directories will be provided directly by our team.
  3. Attendee List Scams: Be cautious of offers to purchase attendee lists or databases. ETC does not sell attendee information, and any such offers are likely fraudulent.
  4. Booth Equipment Scams: If you receive unsolicited offers for booth equipment or services, such as AV equipment, internet access, or furniture rentals, verify the provider’s legitimacy before making any payments. ETC works with trusted vendors for these services; all official communications will come from our team.
  5. Badge Scams: Do not respond to emails or calls requesting personal or financial information to “register” or “verify” your exhibitor badge. ETC registration is handled directly through our official website, and badge pickup will be available on-site with proper identification.
  6. Mail Scams: You will never be mailed an invoice for ETC. All official invoices will be generated through the secure online portals we contract with, such as MicroSpec, Map Your Show, and Freeman Show Services. If you receive an invoice by mail, please disregard it and contact our team immediately.
